Top 10 Items to Take to a Conference – PLUS Bonus Tips

November 7, 2013 By JJ 12 Comments

Top 10: Items to take to a conference

Tomorrow I fly out to Perth for Eat.Drink.Blog — Australia’s only dedicated food blogger conference. I’ve been known to go to a few conferences though the years so I figure I’d share a some tips I’ve picked up along the way.

Now this isn’t a post about what shoes (flats, sandals or boots dependent on weather, something for the party), or sequined tops, or linen pants, or jeans, or sundresses to pack.

It’s not about why you shouldn’t be nervous (because everyone is nervous). Or about how to leave an impression (a just-released camera comes on very handy, as does flying in only hours before the sessions begin, or living in a country far away from where said conference is being held). Or what to say to complete strangers during morning tea.

It is however a list of must-haves for the conference sessions, those little things that make or break a day, because you don’t want to be the one repeating over and over again, “sorry I don’t have business cards yet… ” while your phone dies mid-tweet.

Top 10: Items to Take to a Conference

Top 10: Items to take to a conference

1. Business cards

This one is pretty self explanatory, you’ll meet people who will want to remember who you are. Get cards with current info (name, blog name, url and social media handles at the very least) and take more of them than you think you’ll need. Make sure to have something to put all the cards you get from others into as well.

2. Chargers

Phone, tablet, laptop, camera. Charge everything at night then take the most important chargers with you to the sessions too. I can’t promise you will find an open powerpoint but you don’t want to be asking everyone in sight if you can borrow their charger.

3. Something for note taking

Whether your style is a shiny new tablet or a good old paper notebook, make sure to take whatever makes you comfortable. No one wants to be scribbling the hottest tip they’ve ever heard on the back of a goodie bag flyer that gets tossed in the bin by mistake. In a pinch a phone is great but the small keypad can get annoying if there is lots of good info. Be prepared to come home with a list of things you should be/need to be/want to be doing, remember to look at the list more than once. Even if you are a tablet person make sure you have a pen… you never know when you’ll need a pen.

4. Camera

As a food blogger I have no less than one (and usually three) cameras on me at any point in time — but for most people a phone is usually enough. Just make sure you clean out your photos before you go so there is room for new ones. Note to self, clean out photos while on the plane.

5. Snacks

There will be food, there is always food — but it is not always good, or something you can eat, or there when your blood sugar drops. Even something as simple as a small bag of nuts or some Macadamia & Coconut Granola in your bag will come in very handy. I always travel with tea bags too — because I’m a bit odd like that — if I can find good tea, great, if not I know I’m covered come 10 am.

6. Sweater or wrap

It gets cold in conference rooms, really cold. And the warmer it is outside the higher the air conditioning is inside. A thin jumper or pashmina that fits in your bag will be a lifesaver.

7. Mints or breath strips

Long days and conference food, no matter how good it is, can result in some pretty funky breath. You could always drop a travel toothbrush and toothpaste in your bag, but a pack of Listerine strips will save you every time.

8. A list of people you want to talk to

People you know on twitter but have never met in person, people you haven’t seen since the previous year, people you’ve admired and would like to meet in person, whatever. Without a list of some kind of list you’re bound to miss out on quality face-time with someone you’ve been looking forward to seeing.

9. A good bag

A clutch will never do, but go too big and suddenly you’ll turn into Mary Poppins pulling out lamps and shoes and spoons when all you want is a pen. A solid mid-sized bag with pockets or dividers means you can throw everything in without worrying about leaving a trail of cards and lost phones in your wake. While we’re on the subject of bags, depending on the conference you may want to bring an extra suitcase for your swag, but that’s another topic for another post.

10. A smile

Hello my name isYes it’s cheesy and something your grandmother would say, but it’s true. Walking up to a random group of strangers (or a fan-girl crush) when you don’t know a soul is much easier if you are smiling when you do it. A nervous smile is perfectly acceptable and if they don’t smile back simply fake a coughing fit, excuse your self and find a friendlier group.

Now relax and have fun

I figure as long as I can learn at least two new things and meet one new person it’s worth the trip.

I’d love to know any other top tips you have too!

——

Bonus Tips

Make the lock screen of your phone a picture of your business card — or at the very least your blog name and email address. If you do leave it somewhere there is a better chance the person who finds it will get it back to you.

Stick a business card in the back (or front) of your conference badge. I can’t even tell you the number of times a blank look at my name has changed to one of recognition when they see my logo.

A special thank you to Australian Macadamias for supporting my attendance at Eat.Drink.Blog ’13.

    Great post JJ…entertaining and useful as usual! Unfortunately I will not be at EDB this year but this brings back so many lovely memories from my first and only EDB in Adelaide. Was it really 1 year ago?

    Have a great trip, as I said to Miss Piggy recently I shouldn’t have any trouble picking up a few bits and pieces on social media 🙂

    These are really good tips, I was looking online a while ago for a resource like this and couldn’t find anything! I ended up making this really dodgy word doc that I thought would help me take notes…. haha!

    Hi JJ! Just stopping by to say thanks for the quick chat at EDB13 yesterday… it was wonderful to put a face to a name. Haha. I should’ve read these tips BEFORE the conference (cue lack of business cards and hangry face!). I’ll remember them for next year. P.S this is the broad bean post that won, if you’d like to have a read: http://laurasmess.me/2013/07/10/broad-bean-salad-with-lemon-mint-and-goats-cheese/comment-page-1/#comment-6289

    Love this!

    I especially agree about business cards and mints. For your sake as much as everyone else’s.

    I would add: Questions!! Both for networking and for the Q&A portions of the conference. Not only will you sound smart, but you’ll also learn things and make meaningful connections.

I took this video on Jan 1. I even wrote a caption I took this video on Jan 1. I even wrote a caption and everything. And I intended to post it that day as a reflection moving into a new year. But instead, mom and I went out for pizza and wine, and then it was Jan 2, and so on and so on.
🌀
So instead you’re getting it on Feb 1. A new day and another new month (but what is a new month or a new year, other than a societal convention really).
☀️
Because, each day, each sunrise, we have the opportunity to start anew - no matter how big or little that start may be. A chance to take another step forward - no matter how many steps back you feel you’re fighting against.
🌀
Whether this past year brought blinding joy or paralysing grief (and in whatever measure of balance or imbalance), I hope each new day sees the landscape of your life look one step closer to what you imagine it to be. And that when the waves roll in and change that landscape, you can roll with it and see the beauty and possibility on the other side.
🌊
If you’ve made it this far, congratulations, have a cookie 🍪 And I’ll leave you with the rolling waves and blue sky of a California beach in January. I truly hope this year sees us all grow stronger and move forward with each new day. Going backwards is simply not an option.

When the middle little insisted on buying quail eggs over Christmas, but due to allll the other food we never cooked them, I simply couldn’t let the little guys go to waste.
🥚
Could I have made one dish? Of course. Did I instead prepare quail eggs four ways, bake mini loaves of brioche, make mini waffles, dig through the prop closet for the smallest dishes, and set up an entire table? Of course I did.

Swipe to the end for reference on the size of the eggs and loaf.

🍕
Sometimes this combo gets prawns too 🍤. Most of the time I don’t bother mixing the ingredients in a bowl and just layer them on top. The cheese is a hard goat cheese (because I can’t do 🐄). The ‘spices’ 🌱 is Sicilian oregano. The measurements are random at best - a handful of this, a splash of that.
🍕
If you have a fave veggie or seafood pizza combo I’d love to hear it. Because as Ms.S says, voila, yummy yummy pizza!

The full recipe with all the info is over on my site (⛓ in profile and all that jazz), along with a longer version of the video. Because a 5yo singing - SINGING - about rolling dough into balls is ah-mazing.

Ingredients, for those wondering:
* whole spelt flour
* white 00 pizza flour
* water
* sourdough starter discard
* active dry yeast
* kosher salt
* millet flour (for shaping)
⏲ All the times and weights are in that aforementioned post - plus opts to bake right away vs letting it all ferment for a day or two... There’s also a list of equipment I use, and my personal flour and pizza oven faves. Now go have a pizza party! 🍕🎉

I actually made these Cornish Hens for Christmas last year too and they’ll be on the menu again this year. It’s a perfect holiday feast solution for a small group with only a few meat eaters, but also if you simply can’t be bothered to tackle a turkey!

There seems to be a common thread this year of people asking in stories if it’s ok to start decorating for 🎄 already - my answer, every time, is ‘the world is on fire, time has no meaning, go for your life’. Am I wrong? (I’m not, haha) I may even put up a tree here more than 3 days before (I do keep it up until Easter though, so who knows 😜). Are you getting festive already or do you have hard and fast rules about these things?
